CLARIFICATION TEXT FOR “THE 4th INTERNATIONAL CONGRESS OF YOUTH, FAMILY AND CHILD FRIENDLY TOURISM BUSINESS” IN LINE WITH THE LAW NO. 6698 ON PERSONAL DATA PROTECTION (KVKK)


PURPOSE

Drawn up in accordance with Article 10 of the Law on the Protection of Personal Data No. 6698 (“Law”), this clarification text seeks to inform to inform the participants of the symposium titled “The 4th International Congress of Youth, Family and Child Friendly Tourism Business” to be held online by Beykoz University on 27-29 April 2022 on “International Congress of Family, Youth and Child Friendly Tourism Management” and to enlighten them in accordance with the Law.

DATA SUPERVISOR

Your personal data is processed by Beykoz University in the capacity of data controller, in accordance with the Law on Protection of Personal Data No. 6698 (“Law”) and in line with the basic principles stipulated in the legislation on legal grounds for the reasons explained below.

PURPOSE AND LEGAL JUSTIFICATION FOR PROCESSING YOUR PERSONAL DATA

Your name-surname, telephone, e-mail address, institution you work for, your title, summary of your paper we obtained by e-mails you sent to fycft@beykoz.edu.tr e-mail address located at https://fycft.beykoz.edu.tr/ and the full text of the meeting held online *********** (Zoom information will be added) your audio and video recordings taken while presenting your paper will be processed within the scope of the personal data processing conditions specified in the 5th and 6th articles of the Law No. 6698 to promote our university, contribute to academic studies, realization of academic activities carried out by the university, in accordance with the duties of Higher Education Institutions, to re-communicate with the participants before and after the event; to publish visual images such as photos and/or videos taken during the event and related audio recordings on the university’s web page, social media accounts, other tools such as Youtube.com, which enable us to address the larger part of the society and other instruments to share and disseminate scientific data that increase the living standard of the society and society’s knowledge through verbal statements, in writing and by other means, and to conduct related business processes, give academic education, do scientific research, and promote our university.

THE PARTIES TO WHICH YOUR PERSONAL DATA IS TRANSFERRED AND THE PURPOSE OF TRANSFER

Your personal data addressed in this clarification text can be shared within the scope of the following terms and conditions in the physical and/or electronic environments where academic activities are offered by the University; where any kind of education services, activities and promotion events and any kinds of educational services, activities and promotion events are held by the University, in all social media accounts of Beykoz University, in printed documents, and other media such as Youtube.com and Beykoz University Events YouTube channels allowing the greater part of the public to fulfil the responsibilities of the university stemming from the related Higher Board of Education (YÖK) legislations, and to offer educational services, organize events and promote the university, in a way that is stipulated by the law, necessary for the data supervisor to fulfil its legal obligations, to grant, to exercise or to protect a right on condition that it does not harm the fundamental rights and freedoms of the related individual when data processing is obligatory for the legitimate interests of the data supervisor within the framework of explicit consent legal reasons.

 

METHOD OF COLLECTING YOUR PERSONAL DATA AND LEGAL REASONS

Your data addressed in this clarification text, the abstract/summary/full text papers you have sent to fycft@beykoz.edu.tr e-mail address located at https://fycft.beykoz.edu.tr/, your participation in the Zoom session ***********  (Zoom information to be added) are collected by the University or in any physical and/or electronic environments where the university  offers any kinds of educational services, holds activities or promotion events. The abovementioned personal data are collected fulfil the responsibilities of the university stemming from the related Higher Board of Education (YÖK) legislations, and to offer educational services, organize events and promote the university, in a way that is stipulated by the law, necessary for the data supervisor to fulfil its legal obligations, to grant, to exercise or to protect a right on condition that it does not harm the fundamental rights and freedoms of the related individual when data processing is obligatory for the legitimate interests of the data supervisor within the framework of explicit consent legal reasons.

YOUR RIGHTS STEMMING FROM ARTICLE NO. 11 OF THE RELATED LAW AS OWNER OF PERSONAL DATA

The rights of natural people whose personal data are processed pursuant to Article 11 of the KVK Law are as follows;

  • to learn whether their personal data are processed,
  • to learn the purpose of the processing of the personal data and whether they are used in line with that purpose,
  • to learn whether their personal data is transferred within the country or to abroad, and if yes to learn about the third parties the data are transferred,
  • to ask for correction of the personal data if they are processed wrongly or with shortcomings, and to demand the notification of the third parties regarding the operation conducted,
  • to demand for destruction or erasure of the personal data when the reasons for the processing are no longer valid despite having been processed in line with the KVKK Law and other related law articles and to demand the notification of the third parties regarding the operation conducted,
  • to object to a result violating his/her personal interests due to the analysing of the personal data exclusively through automatic systems,
  • to demand compensation after having suffered a loss due to the processing of the personal data in a way that violates the law.

You can deliver your applications for your rights stated above and your explanation for your right to exercise your rights stemming from the article no. 11 of the KVKK law as a wet-signed copy of your request, which includes the necessary documents proving for your identification, to “Beykoz University, Kavacık Mah. Orhan Veli Kanik Cad. No: 114 P.K. 34810 Beykoz / İstanbul in person, send it through a notary public or other methods specified in the KVK Law, or send the relevant form to beykozedu@hs01.kep.tr with a secure electronic signature.

Depending on the nature of the request, it will be concluded free of charge as soon as possible and within thirty (30) days at the latest. However, if the transaction requires an additional cost, we will charge the tariff determined by the Personal Data Protection Board. If your request is justified, this fee will be refunded to you.,

Applications must be made in Turkish. In order for your request to be evaluated and you to be provided with an answer, your application needs to include your name, surname and, if the application is in writing, a signature.  Citizens of the Republic of Turkey, must provide their national identification number, foreigners need to provide their nationality, passport number/identity number, place of residence or workplace address for notification, an e-mail address for notification, telephone or fax number, if any, and the subject for the request.

Any request made to exercise the rights mentioned above and the explanations made for demanding to use the right he/she seeks to use need to be clear and understandable, the subject requested must be related to his/her person, or if he/she is acting on behalf of someone else, he/she must be specifically authorized in this regard and certify his/her authority. The application must include his/her identity and address information, and documents proving his/her identity must be attached to the application.

This statement above is made within the scope of the KVK Law and as “Data Supervisor”.
